The Resource Reservation Module

In Thinfinity Workspace, the Resource Reservation Module is designed to provide administrators with the ability to create and manage bookable resources, while also enabling users to request temporary access to those resources. This feature is particularly valuable for organizations that need to manage resources for third-party vendors, contractors, or internal teams that require short-term access to specific systems or environments.   • Temporary Access: Users request temporary access to these resources for short-term projects, events, or time-sensitive needs. This system ensures secure access while keeping resources available for others.
  • Third-Party Management: Streamlines access for vendors and contractors, allowing admins to grant short-term access without long-term commitments.
  • Virtual Classrooms & Events: Ideal for education and event management, enabling reservations for virtual classrooms, training sessions, or meetings.

Bookable Resources

Administrators can create bookable virtual or physical resources such as servers, virtual desktops, applications, or hardware that users can reserve for a set period. This system efficiently manages limited resources within organizations, helping to prevent resource conflicts and ensuring that critical infrastructure is available when needed. It is especially valuable for setting up temporary large environments, like virtual desktop pools, for projects or events, allowing for flexibility and better control of resource utilization.

Advanced RBAC for Resource Reservation

Thinfinity’s Resource Reservation module incorporates an Advanced Role-Based Access Control (RBAC) system, enabling granular permissions for users. Admins can assign specific roles, which define how individuals or groups can interact with bookable resources.

Third-Party Management and Temporary Privilege Access

These users can self-book resources from a pre-approved list, ensuring efficient workflows. However, the system enforces strict control by requiring admin authorization before access is granted, ensuring that only necessary resources are made available for limited time frames. Just-In-Time Access

Just-In-Time (JIT) Access in Thinfinity’s Resource Reservation system allows users with appropriate permissions to automatically gain access to a resource immediately upon request, without requiring pre-booking. However, for enhanced security and governance, an audit trail is created, and approval notifications are sent to the administrator for review.

This feature is particularly useful in situations where urgent access is needed—such as for emergency system maintenance, incident response in critical IT environments, or healthcare settings where time-sensitive medical data or resources may be required instantly by authorized personnel. While access is provided instantly, the audit ensures that all actions are tracked, providing oversight without causing delays.

Can Book for Others

In Thinfinity’s Resource Reservation system, users with the “Can Book for Others” privilege can easily reserve resources on behalf of other users. These resources, which are predefined and made bookable by the IT administrator, this can be used to create virtual classrooms, virtual events, training labs, or any other temporary event.

This feature is designed to streamline the booking process for non-technical staff, such as teachers or trainers, who may not be tech-savvy. With this capability, they can quickly and effortlessly manage scheduling without needing extensive technical knowledge, ensuring that resources are efficiently allocated and utilized. Allow Recurrency

In Thinfinity’s Resource Reservation system, the “Allow Recurrency” feature provides roles with the ability to book a resource for multiple periods automatically. If this permission is enabled, users can reserve resources—such as virtual desktops, or applications—on a recurring schedule, ensuring continuous access without the need to make individual reservations for each period.

This feature is particularly useful for ongoing projects, recurring training sessions, or regularly scheduled meetings, streamlining the booking process for both users and administrators while ensuring that critical resources are consistently available when needed.

Can Authorize

Users with the “Can Authorize” permission have the ability to approve access to resources that have been requested by other users. This permission is typically assigned to IT admins, site admins, or other authorized personnel responsible for overseeing resource usage. When a resource is requested by a user who does not have immediate access, the request goes to individuals with the “Can Authorize” role. These users can then review the request and grant or deny access as appropriate.

This system ensures proper oversight of resource allocation, helping to maintain security and compliance by allowing only authorized users to manage and approve resource usage.

Notifications and Audit

Thinfinity’s Resource Reservation system includes robust notification and audit features to enhance oversight and management. Administrators receive real-time notifications through the Thinfinity portal, alerting them to new booking requests or changes. For additional flexibility, administrators can also configure Thinfinity to work with an SMTP server via Thinfinity IDP, allowing notifications to be sent directly to their email inbox.

Every action related to resource bookings, including requests, authorizations, and usage, is logged in the system’s audit trail. This comprehensive logging enables administrators to track resource access, ensuring transparency and compliance. The audit log helps maintain accountability and allows admins to review resource utilization, making it easier to identify patterns, resolve disputes, or optimize resource allocation strategies.

REST API

Thinfinity provides a powerful REST API that enables developers and IT administrators to automate workflows and seamlessly integrate the Resource Reservation system with external platforms such as Learning Management Systems (LMS) and enterprise software.
